User Database for the Companywide Subscription

When subscribed to the Companywide licensing plan, admins can manage their user database within the EchoSpan tool. The user database is required for all employees who will be participating in the review process (targets and raters). To begin, admins will upload the initial user/employee database at the start of the annual subscription. This initial upload should include all current employees who may participate in the review process. Throughout the yearly subscription, user records can be added/edited/disabled/termed as the need arises. Each year following, admins can continue to modify the User Database or they can decide to have the database wiped completely so they can initiate a brand new upload.

Initial upload of the user database:

  • Login to your EchoSpan account and navigate to the Users tab
  • Click on "Upload Users"
  • Then, select the click here link to download the upload template in excel
  • The excel template contains instructions for the upload which includes information and descriptions on required fields
  • Once the template is populated with the required employee data, navigate back to Users >> Import/update Users and copy/paste the data into the space provided. When the upload is complete, click on the View Error Report link to verify whether any errors exist and require attention.

Updating the user database (method to use when multiple user updates are required):

  • Login to your EchoSpan account and navigate to the Users tab
  • Repeat the steps above to open the upload template and add the user data for each record that needs to be added, updated, or removed.
  • Reference the "Command Reference" tab for descriptions of the Action indicator (column L)

Add a new user:

  • Login to your EchoSpan account and navigate to the Users tab
  • Click the "Add New User" icon
  • Fill out each field and click "Submit"

Edit a user record:

  • Login to your EchoSpan account and navigate to the Users tab
  • Click on the Users name to edit the name, email address, title etc
  • Click "Submit" to save the changes

Disable a user record:

  • Login to your EchoSpan account and navigate to the Users tab
  • Select the box to the left of the users' name and then click the "lock" icon to disable the user
